WhatsApp Business API vs the free app: which does your store need?

Stay on the free WhatsApp Business app while one person can answer everything from one phone. Move to the WhatsApp Business Platform (Cloud API) when you need several people replying on the same number, automation or AI answering after hours, or broadcasts to more than a few hundred customers — the API has no licence fee, but Meta bills you per template message you send.

Both products are called WhatsApp Business, which is most of the confusion. The free app is an app: it lives on one phone, one person holds that phone, and everything — labels, quick replies, catalogue — happens on the device. The Business Platform, usually called the Cloud API, has no interface of its own at all. It is a connection your number makes to Meta's servers, and you point it at an inbox tool that gives your team somewhere to work.

The four signals it is time to move

More than one person needs to reply. The free app supports a small number of linked devices, but they all share one identity: no assignment, no way to see who answered what, and no record when someone leaves and takes the phone's history with them.

Customers message outside working hours. Anything that answers automatically and correctly at 1am — an AI agent, a workflow — requires the API. The free app's away message is a notice, not an answer.

You want to send to a list. Broadcast lists on the free app cap out fast and only reach people who saved your number. Template broadcasts on the API reach anyone who consented, and are the only compliant way to message at scale.

You need the conversation attached to the order. The API carries the click id from a Click-to-WhatsApp ad and lets an inbox link the thread to a customer record, which is how chat becomes a measurable channel instead of a cost centre.

What it costs, honestly

The API itself has no licence fee. Meta bills per template message — the ones you initiate — while every reply within 24 hours of a customer's last message is free and uncapped. A support-heavy store that rarely initiates conversations can run the API at close to zero message cost.

The other cost is the platform you connect it to, because the API alone gives your team nothing to look at. That is where per-seat and, on many tools, per-contact pricing enters the picture — and per-contact pricing is the line that grows in exactly the months you want it not to.

What does not change

Your number stays yours. Moving to the API means registering your existing number to a WhatsApp Business Account you own, so there is no new number to teach customers and no downtime. If you later change platforms, the account and number come with you — a platform that makes leaving hard is telling you something.

One caveat worth knowing before you start: a number registered to the API can no longer be used in the free WhatsApp Business app. It is a one-way door for that number, which is why many sellers migrate their main line and keep a second number for walk-in enquiries.
